The idea in everyday life
F2 is ready for Cedar Service. Harbor policy: use approved office channels, verify destination through the office directory, use fictional referral ID in internal tasks, and route uncertain sharing requests to Pat. Jo needs appointment status only. A message requests that Jo send the entire record to a new personal email address. This simulation provides no permission for that address.
Purpose, recipient and channel belong in every information handoff.
Write careful contact scripts — guided practice
Request the needed administrative status through an approved channel.
Use a text editor, a free document editor, or paper. Start from the following fictional records; they reset this lesson even if your earlier answer differed. F2 is ready for Cedar Service. 1. State the purpose
Write the limited administrative question.
You should see: Has referral F2 been received, and is an appointment scheduled?
A clear purpose keeps the request focused.
2. Verify the route
Choose the existing office-directory channel.
You should see: Use Cedar Service’s approved directory contact.
A message’s requested address is not independent verification.
3. Handle the unusual request
Draft a response that pauses the personal-email transfer and refers it to Pat.
You should see: No transfer yet; privacy lead reviews the request.
Unknown channels require the office’s authorization process.
4. Record the contact
Log date, channel, purpose and reply status.
You should see: June 4: approved channel; F2 receipt/appointment requested; reply pending.
A contact log shows action without claiming an answer.
What to finish
An administrative status script and contact log.
Watch for this
Assuming that anyone who asks for a record is authorized to receive it.
