  • A coverage grid and two-part handoff script.
  • An access check and clear escalation message.
  • A revised run of show and communication log.

The idea in everyday life

Jo covers check-in 12:20–13:20. Sam covers floor support 12:30–15:00. Mo covers audio 12:30–15:00. Lee coordinates 12:00–15:30 and can cover one short relief task at a time. Check-in continues until 13:30. Jo must leave at 13:20. Handoff protocol: outgoing person states status and unresolved items; incoming person repeats ownership and next action.

The idea

A role is covered only when a named available person accepts it.

Follow along

Staff and confirm handoffs — guided practice

Check role coverage and make transfers explicit.

Use a text editor, a free document editor, or paper. Start from the following fictional records; they reset this lesson even if your earlier answer differed.

  1. 1. Compare coverage

Match Jo’s availability to the required check-in closing time.

You should see: A 10-minute gap exists from 13:20–13:30.

A role label does not prove full coverage.

  2. 2. Assign feasible relief

Ask Lee to cover the final 10 minutes in this simulation.

You should see: Lee owns check-in 13:20–13:30.

The substitute is both named and available.

  3. 3. Write outgoing status

Draft Jo’s handoff: 44 arrived, 4 registered not yet arrived, one access request needs follow-up.

You should see: Counts and one unresolved task are explicit.

A successor needs the current state, not just a greeting.

  4. 4. Write acceptance

Have simulated Lee repeat ownership and the access follow-up.

You should see: Lee accepts check-in and the outstanding request at 13:20.

    Acknowledgement confirms the transfer occurred.

Now change one thing

Jo leaves at 13:10 and check-in ends 13:30. Enter the uncovered minutes before relief is assigned.

Your work

What to finish

A coverage grid and two-part handoff script.

Common mistake

Watch for this

Moving someone to relief while leaving their original essential role uncovered.

How can I tell I understand it?

Check your result against the worked example, then explain the changed case without using an unstated assumption.

1One worker is assigned two simultaneous essential stations in different rooms. What must change?
2An outgoing worker says “There’s a problem.” What information most improves the handoff?
3A receiver repeats “I own check-in until 14:00 and will follow up request A2.” What does this establish?
