The idea in everyday life
Lee approves Alpha at $440: 200 booklets, 24 pages, 12-point text, delivery by day 10. Approved order reference P17. A fictional delivery note on day 9 says 190 booklets. Ten remain outstanding. Receiving staff must record discrepancies and alert Lee; they cannot mark all 200 received or change payment terms.
The decision record should make later acceptance checks possible.
Prepare the purchase handoff — guided practice
Create a record for checking an authorized order when it arrives.
Use a text editor, a free document editor, or paper. Start from the following fictional records; they reset this lesson even if your earlier answer differed.
1. Copy approved terms
Create an acceptance checklist directly from P17.
You should see: Quantity 200; pages 24; text 12 point; arrival by day 10; total $440.
A receiving check should reflect the approved purchase.
2. Compare the delivery
Subtract the documented received quantity from the order.
You should see: 200 − 190 = 10 outstanding.
Partial delivery is different from complete receipt.
3. Record the discrepancy
Draft a receipt record with date, quantity and remaining amount.
You should see: Day 9: 190 received; 10 pending; Lee notified.
The record should show what actually happened.
4. Close the decision packet
Attach approval, acceptance criteria and the discrepancy handoff.
You should see: One packet traces requirement through recommendation to partial receipt.
Complete traceability helps the next person act consistently.
What to finish
A final purchase packet with acceptance checklist and discrepancy handoff.
Watch for this
Marking a whole order received because one parcel arrived.
