A fictional ongoing volunteer-program operations file with role limits, readiness gates, a consent/status index, shift assignments, safe concern-routing scripts and a continuity handoff.

Keep your working files in your own notebook or software. Save a private description, checklist, and work link in My Proof.

What to include

  • Include bounded role cards and qualified-supervision conditions.
  • Preserve individual readiness gates, reasons and authorized owners.
  • Show feasible assignments, holds and a supervisor-absence recovery log.
  • Provide minimal concern/update drafts and a deduplicated people/hours handoff.
  • Flag the Monday attendance/coverage shortfall and documented packing pause; do not claim the full planned shift was delivered.

Review and revise

Use these criteria to check your work and choose what to improve.

  • No assignment bypasses a pending permission or training condition.
  • Supervisory authority is separate from volunteer skill or willingness.
  • Notes minimize sensitive information while retaining needed accountability.
  • Counts reconcile and open conditions include Monday’s shortened coverage window and Tuesday’s staffing hold.

The idea in everyday life

Fictional book-share program: packing sorts public book donations; the desk gives printed opening-time information. Volunteers may not access participant records, transport anyone or supervise children. A shift needs two ready volunteers and one qualified staff supervisor on site. Ready means orientation complete, authorized approval confirmed and assigned-role training confirmed. In this exercise V1 and V3 have packing training, V3 has desk training; V2 has packing training but approval is pending; V4 lacks orientation. Supervisor M is qualified and available Monday and Tuesday 14:00–16:00. These are supplied exercise rules, not a background-check or safeguarding policy for a real organization. Recorded Monday attendance: V1 was present 14:00–15:30 (1.5 hours), V3 14:00–16:00 (2 hours), with accepted D supervision 14:00–16:00. Qualified D records that packing paused at 15:30 when V1 left; no packing occurred during15:30–16:00. The shortened active window was14:00–15:30, not the full planned two hours. These are attendance hours, not proof of full planned activity delivery. No Tuesday shift occurred. V2 approval is still pending in this final baseline; earlier approval changes were practice variations only.

The idea

A handoff combines current state and open actions. Unique people, readiness and time served are different measures and should not share a denominator accidentally.

  1. 1. Restore the baseline

Reopen the final case roster and label earlier what-if approvals as variations, not actual baseline evidence.

You should see: V2 remains pending; V4 orientation remains incomplete.

Practicing a change does not establish that it happened.

  2. 2. Reconcile counts

Count interested IDs, ready packing IDs, unique served IDs and total hours separately.

You should see: Interested 4; ready 2; served 2; hours 3.5.

Hours are additive time; IDs are deduplicated people.

  3. 3. Keep the open work

Check each attendance interval against the two-volunteer rule. Record Monday packing active14:00–15:30 and paused15:30–16:00, then retain Tuesday staffing hold and V2/V4 readiness questions with staff owners.

You should see: Monday has3.5 attendance-hours versus4 needed for the full two-hour volunteer coverage: at least0.5 volunteer-hour shortage, with the actual final30-minute packing pause documented. Tuesday remains held.

Aggregate hours do not prove simultaneous coverage. The intervals and pause record establish a shortened active window rather than a fully delivered planned shift.

  4. 4. Assemble the handoff

Combine role cards, readiness table, shift log, two concern drafts, recovery evidence and open actions; check that each number traces to a record.

You should see: The packet reconciles both completed and unresolved work without a blanket success claim.

The next coordinator can continue safely from the actual state.

Now change one thing

V1 later serves one additional 2-hour shift. How many unique served volunteers exist if nobody else serves?

Your work

What to finish

A reconciled recurring-program handoff with deduplicated counts and open-action owners.

Common mistake

Watch for this

Counting the same volunteer once per shift as multiple distinct people.

How can I tell I understand it?

Open future conditions retain owners rather than disappearing after one completed shift.

1V1 served 1.5 hours and V3 served 2 hours. What are total book-share hours?
2V1 serves again next week. Which book-share count necessarily increases?
3A practice variation showed V2 approval. No actual confirmation exists in the final baseline. Which handoff is truthful?
