A program finance packet with cash and donated resources, funding restrictions, shared costs, payment timing, variance review and a final report.

Keep your working files in your own notebook or software. Save a private description, checklist, and work link in My Proof.

What to include

  • A program resource budget separating cash and in-kind support.
  • A funding-by-cost matrix with restricted balances visible. A documented shared-cost allocation and funding check.
  • A program cash-timing check with a conditional launch rule.
  • A line-by-line variance review with a funding gap flagged.
  • A nonprofit program finance report with reconciled funds and service-cost context.

Review and revise

Use these criteria to check your work and choose what to improve.

  • Calculations reconcile to the supplied records, with units and dates labeled.
  • Assumptions and missing information are visible, including the changed scenario.
  • The recommendation follows the evidence and explains an important limitation.
  • The six lesson outputs form a usable handoff that another learner can check.

The idea in everyday life

Fictional Bridge Club plans four workshops for 20 people. Facilitator: 8 hours × $25; materials: 20 × $5; snacks: 80 servings × $2; transport: 20 × $3; coordination: 4 hours × $20; donated room: 4 sessions × $30. Donation of room use is noncash and available for all four sessions. Funding: a $500 restricted award may pay only facilitator, materials and transport; $250 unrestricted donations can pay any cash expense. These are fictional award terms, not government rules.

The idea

Having enough money overall does not mean every fund can pay every expense.

Match spending to permitted funding — worked practice

Having enough money overall does not mean every fund can pay every expense.

Fictional Bridge Club plans four workshops for 20 people. Donation of room use is noncash and available for all four sessions. Funding: a $500 restricted award may pay only facilitator, materials and transport; $250 unrestricted donations can pay any cash expense. These are fictional award terms, not government rules.

  1. 1. Assign permitted costs

Sum facilitator 200, materials 100 and transport 60.

You should see: $360 can be assigned to the restricted award.

    Follow the stated purpose restrictions.

  2. 2. Assign remaining cash

Put snacks 160 and coordination 80 under unrestricted donations.

You should see: $240 needs unrestricted funding.

Do not move costs merely to use a grant balance.

  3. 3. Check each fund

Subtract assigned costs from each available amount.

You should see: Restricted balance $140; unrestricted balance $10.

A total surplus can hide restrictions.

  4. 4. Record unused amounts

Label the $140 as restricted pending the award terms.

You should see: Total unspent cash $150; only $10 is unrestricted.

Unused funds are not automatically free to repurpose.

Now change one thing

An award has 400 available and 275 eligible costs. Enter remaining restricted balance.

1A fund permits supplies only. Which cost can be assigned under those terms?
2Restricted funds 500 and unrestricted funds 50 exist; unrestricted-only costs are 100. What is the gap?
3An unused award balance remains. What should the planner check?
